Please take time to read our children’s privacy notice which explains how we collect and look after your personal information.

As a young person under 16 years of age we rely on the consent of an adult who has parental responsibility for you to join Gymtazia.

Your privacy is extremely important to us, and we are fully committed to providing you with clear and transparent information about how we use your personal information.

We will ensure robust measures are in place to keep your information secure and will only use it for the purposes outlined in this notice.

Gymtazia Gymnastics is the sole controller of the information provided, and we are committed to complying with our legal responsibilities under data protection law.

We abide by the principles, processes and practices set out in our Data Protection Policy (last updated in January 2019 in line with GDPR).

Changes to the privacy notice 

We will review the privacy policy regularly, any changes made to the privacy policy,

you will be informed and given an updated version.

When we collect, use, share or retain your personal information (known collectively

as ‘processing’) we are regulated under the General Data Protection Regulation

(GDPR) and are responsible as ‘controller’ of your information.

This notice applies to you if you are:      

An existing or prospective member of our club

·      A member looking to join.

·      A person with parental responsibility for a member.

We ask the person with parental responsibility to provide us with;

·Child’s Full Name

·      Child’s DOB

·      Any medical conditions and/or previous injuries

·      Address

·      Parent/Career telephone/ mobile number

·      Email address

·      Emergency contact number and the name and relation to your child

Legal obligations                                                           

We have a duty of care to ensure it is safe for your child to take part in

Gymnastics activity and to keep them safe while participating. It is a physical

contact sport which will require physical contact with your child to coach, support

them and prevent any injuries.

It is vital that you let us know if there is any reason why taking part in Gymnastics activity may be unsafe prior to participation. This allows us to adapt the lesson to meet every child’s needs and still allow progression and development within your child’s Gymnastics Skills in a controlled and safe environment. 

 With your agreement, we will review any information you provide and undertake risk assessments in consultation with yourself and any appropriate trained professionals e.g., medical consultants. When we ask participants to provide relevant health information such as details of medical conditions, medication needs, allergies or injuries/ previous, this is because we have a legal obligation and for the safety of your child. 

Photos/Filming

 By joining our club, you are automatically giving consent to allow your child to

have photos and videos taken of them for the reasons listed below unless stated

otherwise by the parents/Career.

You give consent for:

·      Coaching purposes

·      Social media

·      Advertising

·      Website

·      Class4kids (Our booking system)

Please inform us if you do not wish to be filmed or photographed and/or do not want your image to be published, please state this on the document when signing. It may be difficult to avoid capturing your child in footage, however we always review all photographs prior to publication, and we will ensure any images of your child are deleted. 


Group chats will be made to make it easier for updates to be sent via business phone. If you don’t want to be in the group chat please remove yourself and let me know by private message. However this is the most efficient way for you to get the most important updates so you as a parent don’t miss out on the reminders. Please also add yourself to our private parents Fb group for important updates as well and keep an eye on our social media stories

Safeguarding and Welfare of Children

We take our responsibility to ensure our main priority is the safeguarding and welfare of your child. If there is any cause for concern with safeguarding, we are legally obliged to pass on personal information to the relevant authority if we thought a child was at risk. When you become a member, this will all be covered in the process of giving your consent.

All service providers are contractually required to ensure your information is

secure and cannot use this information for their own purposes. Where we are

required to share information we only disclose information that is strictly.

Except for the above, will only share your information with any other third parties

with your prior agreement. 

This information will enable us to provide you with the service you have asked for.

We hold this information to help us fulfil our legal obligations.
